Two-Way Messages

Two-way messages
Two-way messages

You receive Two-Way messages as a standard feature of the system when the Trackwell Messenger is added to Trackwell Fleet.

This functionality operates very similar to most any email type system. The driver creates, sends and receives messages with the office system and the office system creates, sends and receives messages to and from the driver.

There are additional features that include electronic forms. The driver’s Speed Key features one touch messages and the ability to tie these messages to email addresses outside of the system, as well as interface forms with other systems for the seamless exchange of information.

The driver is presented with a large and easy to use virtual keyboard when the driver has more information than what the customer’s specific Speed Keys can provide.

The Two-Way Messaages function is also used in many of the other solutions described in this section.

Automated Fuel Tax Reporting

Automated Fuel Tax Reporting

Fully automate the collection of your State or Provincal vehicle miles for your fuel tax reporting.
The system can be configured to gather the miles automatically without driver interaction or can gather the crossings and allow the driver to “confirm that the data entered… is correct before the data is finally stored” according to the IFTA Procedures Manual (click on the link to see the IFTA Procedures Manual); and go to section P660.700.
PTO time is available for savings on non-taxable fuel usage. Unlike some systems, care is taken to prevent false ECM signals that can signal erroneous PTO usage.

The system interfaces fuel card purchase systems. Fuel purchases are passed directly to the reports; saving input errors and time. The driver can manually enter fuel purchases and the office can also enter fuel purchases for yard fuel not entered into the vehicle’s system.

Interfaces are also available to external fuel tax systems, should you desire to use an outside service rather than submit your own forms.

You have the flexibility of filing your own reports or interfacing with outside fuel tax services.

The system gathers the data either automatically or with driver confirmation, per your choice.

Your fuel purchases are included on the forms as you like. Each vehicle’s miles are gathered by State/Province and all non-tax fuel usage is separated (such as PTO), all with one system.
All information is contained in a single system
No mismatch of information in case of an audit

Select driver intervention or set to auto state crossing
Conform to IFTA rules or your own state’s rules

Breadcrumb history trail for every vehicle for every day
Have proof of the route taken through a state for audit

Fuel card interface
Pass fuel card purchases automatically to the system for state fuel purchase credits

Driver can enter fuel purchases directly into the driver’s display
Allows for fuel purchases to be entered into the system without the necessity of a fuel card vendor

Eliminate time consuming and error prone manual entry
Information is gathered automatically, eliminating time consuming manual entry, lost receipts or errors from reading the driver’s handwriting

Gather information when it happens – at the source
Information is immediately ready for management use, no waiting for the driver to return from their trip to know what is happening

Automated DOT Logs

Automated DOT logs

Automation of your drivers’ DOT logs is certified fully compliant with U.S. Rule 395.15 of the Federal Motor Carrier Safety Association and Canadian Motor Vehicle Transport Act, 1987; Commercial Vehicle Drivers Hours of Service Regulations; SOR/2005-313, (see part 83) including all updated rule amendments.

Rule provisions are included for Intrastate rules, Farm and Oilfield Exemptions.
Drivers can quickly review their currently available hours under their operating rule, as well as easily move from one vehicle to another (commonly called slip-seat).

Drivers can add comments to any duty status change and any needed clarification for the status change.

Roadside inspectors can review the required log history right on the driver’s display without having to crawl up into the cab of the vehicle.

The driver’s display is equipped with a quick disconnect from the vehicle mounting bracket and equipped with a coil extension cord for viewing on a large color screen that is nearly 4″ x 6″.

The display can even be taken into the inspector’s office, at a scale for example, and plugged into an A/C power outlet (with an optional A/C power adapter) to show the required current and previous days DOT Logs.

Management has up to the minute information and can quickly check the driver’s available hours from their web browser

Trackwell Route™

Driver View

Driver View

Track the status of each driver’s planned route in real-time. It also provides the driver with detailed information about the route and helps them keep to the planned schedule.
Your customer service department can be proactive rather reactive when dealing with delays. Call the customer first to give them an update, rather than wait for them to call you with a complaint, when your vehicle hasn’t arrived on time.

Gather historical information about your routes for better future planning. See which routes cause problems, at which times and by what drivers. See which customers cost you more than you make in profit by serving them.

Take care of your “great” customers. Consider eliminating the 20% that cause 80% of the headaches and drive up your fleet costs.

The system interfaces with routing systems for the plan and then passes that plan to each driver. This helps the driver stay on the plan.

Save fuel and time by keeping to well-planned routes. Trackwell Route can be combined with a navigation feature that integrates with FleetNav by Maptuit, for turn-by-turn directions based on truck routes. Don’t worry about bridge weight restrictions or underpass clearances. Provide quick help with directions for lost drivers. FleetNav and Maptuit are trademarks of Maptuit.
Route Tracking helps you in two major ways: It helps your driver stay on plan and it helps you track the progress of each route. It all starts with a route schedule or standard. The route standard is usually created with a routing package.

The route is then passed to the office side and placed into the driver’s outbox. It is ready for the driver to log into the system from any unit. The route is sent to the unit when the driver logs in. The driver starts the route and the system prompts the driver to follow the route.

Trackwell Forms™

Work order
Trackwell Forms

The electronic forms functionality provides you with the capability of automating your own custom forms. Your system provides known information to the driver in your own familiar format.

The driver then adds to the information or makes appropriate changes and sends the information back to your system, when he has completed the task.

Compare this with the old fashioned way: A work order is provided to the driver in paper form. You have provided some of the information and the driver fills in the remainder after they have completed the assigned work. The driver finally gives you all the completed forms when they return.

Now your first challenge is to read the form, then enter the data into your system without any errors. This is all a waste of valuable time and introduces the opportunity for keying errors.

Automate this process with forms and start doing business the electronic way.

Information is immediately sent to your system when the task is completed; no more waiting for the driver to return and someone else to enter the information.

New forms can be electronically sent to the unit without having to reprogram the onboard computer.

The large 4″x6″ screen has a full virtual keyboard for the driver’s ease of entry. Now you can finally read the information!

Save time and paper. The system keeps a copy of the form in each onboard computer and emails an electronic copy to maintenance. Trackwell Forms can electronically automate all your forms.

Some examples are:
· Work Order Forms
· Vehicle Maintenance Reports (VMR)
· Work Crew Time Sheets
· …and many more

Simply provide samples of your forms with information about the data fields and we do all the work for you. When the forms are ready, we simply upload them electronically to your fleet. Training is quick and easy as your drivers are already familiar with your forms and the information they contain.

Drivers are happy to not have to handle the paperwork and the office people can finally read the information.

Trackwell Nav™

Trackwell Nav Right Turn Version 1.26
Trackwell Nav

Trackwell Nav provides the driver with directions from their current position to any address they enter into the system or provided by dispatch to them.

When combined with Trackwell Route, the system provides the driver with the ability receive text directions for their route or directions from their current GPS position to their next stop on their screen.

The system shows a graphic layout of these directions with each turn displayed. The driver can zoom in or out to see the details and overview of their route.

The system shows the driver’s current position in relation to their route and counts down the distance to their next turn.

The next turn direction is indicated by a pointer on the dispaly so the driver knows the distance to the turn and the direction of that turn.

The large 4″x6″ screen gives the driver a nice viewing area to actually see their route!
